Terms & Conditions

These Terms & Conditions set out the basis on which Aiantas Paphos Academy provides academy memberships, children's programmes, Saturday Club, Summer Camps and related services in Cyprus.

Introduction

These Terms & Conditions apply to membership, classes, Saturday Club, Summer Camps, events and related services provided by Aiantas Paphos Academy.

By registering a child, making a booking, paying for services or attending academy activities, parents, guardians and adult participants confirm that they accept these Terms & Conditions.

Membership And Registration

Membership or programme participation is subject to availability, suitability, completion of required registration details and acceptance by the academy.

The academy reserves the right to allocate participants to groups based on age, development stage, experience, welfare considerations, timetable availability and operational needs.

Summer Camp Registration

Summer Camp places are offered subject to space availability, age suitability, timetable capacity and completion of any required registration, consent and health information.

A place will only be treated as confirmed once the academy has received the required registration information and any applicable payment or deposit, unless the academy confirms otherwise in writing.

Payment Terms

Programme fees, camp fees and any related charges must be paid in accordance with the payment schedule communicated by the academy.

Late or missed payments may affect continued participation, place allocation, registration confirmation or access to future academy services.

Refund Policy

Refunds are considered at the academy's discretion, subject to the timing of the request, the nature of the service booked, space allocation commitments and any costs already incurred by the academy.

Where a refund is approved, any non-recoverable administrative, booking, facility, staffing or third-party costs may be deducted where lawful and reasonable.

Cancellation Policy

Parents or guardians should notify the academy promptly if a participant can no longer attend a programme, event or camp. Early notice helps the academy manage staffing, safety and waiting lists.

The academy may amend timetables, coaches, venues, session content or scheduling where reasonably necessary. If the academy cancels a service entirely and cannot provide a suitable alternative, an appropriate credit, transfer or refund may be offered at the academy's discretion.

Parent And Guardian Responsibilities

Parents and guardians must provide accurate registration details, emergency contacts, relevant medical information and any updates that may affect safe participation.

Parents and guardians remain responsible for children before handover, after collection and at any time outside the supervised activity period confirmed by the academy.

Behaviour Standards

All participants, parents and visitors are expected to behave respectfully toward academy staff, coaches, volunteers, other children and other families.

Unsafe, disruptive, aggressive, abusive or inappropriate behaviour may result in intervention, removal from an activity, suspension or termination of participation where the academy believes this is necessary to protect others or maintain a safe environment.

Health Declarations And Medical Information

Parents and guardians must disclose any medical condition, allergy, injury, medication need, support requirement or other information that may be relevant to the child's safe participation.

The academy may refuse or pause participation where sufficient health information has not been provided or where the academy believes attendance would not be safe without further clarification.

Photography And Video Consent

The academy may request consent for photography or video recording for communication, safeguarding, promotional or administrative purposes. Parents and guardians should inform the academy promptly of any consent restrictions.

The academy will aim to respect stated preferences, but parents and guardians should understand that public events, group activities and shared spaces may involve incidental capture of images or video in the background.

Liability And Risk

While the academy takes reasonable care to provide a safe and properly supervised environment, participation in sport and physical activity carries inherent risks, including the risk of accidental injury.

Nothing in these Terms & Conditions excludes liability where it cannot lawfully be excluded. Subject to applicable law, the academy's liability is limited to losses that are reasonably foreseeable and directly caused by proven breach of duty.

Force Majeure

The academy will not be responsible for delay, cancellation, closure or interruption caused by events beyond its reasonable control, including severe weather, public health restrictions, government action, facility unavailability, strike action, power failure, transport disruption or other force majeure events.

Where possible, the academy will try to provide reasonable alternatives, rescheduling, credits or updated communication in affected circumstances.
